OFFICE MANAGER x 2 POSITIONS
Job Purpose: Provide strong, reliable support to Senior Officers
OFFICE MANAGER RESPONSIBILITIES INCLUDE:
i. Ensure work tools are operational and office supplies at required level
ii. Maintain and update an efficient registry of electronic and hard copy documents iii. Process and convey telephone calls and hard copy mail
- Prepare correspondence, memos and emails for other related offices in relation to office operations
- Maintaining schedules and calendars for meetings and keep appointments.
- Keep accurate record of file movements and manage general filling vii. Handling petty cash
- Oversee office upkeep in terms of needed repairs and daily cleaning
- Ability to deal appropriately with sensitive issues and maintain a high level of confidentiality at all times
i. Performs other related tasks as assigned by the supervisor and management.
x. Ability to work with minimum supervision
REQUIRED SKILLS, ABILITIES, AND KNOWLEDGE FOR OFFICE MANAGER POSITION
- Grade 12 School Certificate with five Credits including English language. .
- Minimum of a Diploma in secretarial studies; additional qualifications in management will be added advantage.
- Relevant experience preferably in a higher learning institution.
d) Shorthand/Typewriting Speed of 90/100WPM and 55/65WPM for office Manager i position (senior position)
- Must have high computer skills in Word and Excel
- Demonstrated experience in supervision of support staff
- Strong critical thinking, problem-solving
- Excellent written and verbal English skills.
- Strong communication and interpersonal skills
- Must be a member of the Professional Secretaries Association of Zambia.
